Job Title: Office Administrator
Location: Cebu City, Philippines
Job Summary:
MB&A - Cebu is seeking a highly organized and detail-oriented Office Administrator to ensure the smooth and efficient day-to-day operations of our Cebu office, which supports outsourced functions for our International operations. This role requires a proactive individual with excellent communication and organizational skills, focused on compliance, office management, and basic HR support within our Cebu team.
Responsibilities:
1. Compliance Liaison:
* Serve as the primary point of contact for all compliance-related matters within the Cebu office, aligning with both local and International Branch requirements.
* Assist in the implementation and adherence to company policies and procedures relevant to the Cebu operations.
* Maintain organized records of compliance documentation, business permits, and licenses relevant to the Cebu office.
* Coordinate with relevant departments and local authorities in Cebu to ensure timely submission of required information.
* Support internal audits and compliance reviews by providing necessary documentation and assistance from the Cebu perspective.
* Stay updated on relevant regulatory changes in the Philippines that impact the Cebu operations.
2. Office Management:
* Oversee the general upkeep and maintenance of the Cebu office environment, ensuring a clean, organized, and functional workspace.
* Manage office supplies and equipment, including procurement from local suppliers and inventory control within Cebu.
* Coordinate with building management (if applicable) for maintenance requests and office-related issues specific to the Cebu location.
* Handle incoming and outgoing mail, local courier services, and deliveries within Cebu.
* Manage meeting room bookings and ensure they are properly equipped for internal Cebu team meetings.
* Organize office events and activities for the Cebu team.
* Manage office security protocols and access control for the Cebu office.
3. Human Resources Support:
* Assist with the onboarding and offboarding processes for Cebu-based employees, including paperwork and local orientation.
* Maintain employee records and HR documentation with confidentiality and accuracy for the Cebu team.
* Support the local recruitment process by scheduling interviews and preparing interview materials for Cebu-based candidates.
* Assist with the administration of employee benefits and HR-related inquiries specific to the Cebu team.
* Facilitate internal communication regarding HR policies and updates relevant to the Cebu office.
* Support local performance management processes by assisting with documentation.
4. Operational Support:
* Provide general administrative support to the Cebu-based team members.
* Prepare and format documents and basic reports.
* Manage and maintain electronic and physical filing systems for the Cebu office.
* Handle phone calls and emails professionally and efficiently within the Cebu context.
* Assist with other administrative tasks as needed to support the smooth functioning of the Cebu operations.
Qualifications:
* Proven experience in handling office management and administrative tasks, preferably in Cebu.
* Basic understanding of HR principles and practices in the Philippine context.
* Familiarity with compliance requirements and record-keeping in the Philippines.
* Excellent organizational and time management skills.
* Strong attention to detail and accuracy.
* Good written and verbal communication skills in English and Filipino.
* Proficiency in basic Microsoft Office Suite (Word, Excel, Outlook).
* Ability to work independently and as part of the Cebu team.
* High level of professionalism and confidentiality.
